You may not be a customer or employee of True Grace Home LLC, but we may still have personal information on you because of your connection to one of our service users or employees, who has designated you as either their next of kin or emergency contact.
Who are we, and why do we require your personal information to be processed?
The data controller for your personal data is True Grace Home LLC. Personal information is data that is about you or has enough details to allow us to recognize you. True Grace Home LLC has a legitimate interest in processing an individual’s emergency contact information and next of kin information while that person is employed by the company and while a care package is in place for a client. Processing this data enables True Grace Home LLC to keep contact information, care records, and employment records correct and current (specifically details of who to contact in the event of an emergency). Our legal justification for keeping your information on file is a legitimate interest.
What sort of data is being gathered?
Only information pertaining to you as a designated emergency contact or next of kin will be gathered and processed by True Grace Home LLC, either by one of its employees or by one of its clients. Only those workers or clients who have designated you as their emergency contact and/or next of kin will provide this information to True Grace Home LLC. You will need to provide your name, relationship to the person, and phone number.
Who has access to your information and how is it safeguarded?
When we employ paper records, this information is safely saved in a secured filing cabinet in a lockable room or in a password-protected paperless filing system that is preserved on a secure server. Only those who truly need it will be allowed access, and only in truly emergency situations. We shall determine what an emergency is on a case-by-case basis. We carefully adhere to internal regulations that govern how we handle your personal information. Under no circumstances will True Grace Home LLC disclose your information to third-party organizations without your prior permission.
How long will we store your information?
True Grace Home LLC will retain your personal information for as long as the person is an employee, a care package is in place, or until we receive a different notification from the data subject (you), the employee, or the customer. You have a number of rights under data protection law as a data subject. They consist of:
- You have access to all the personal data we have on file for you, when we have wrong or missing information, you can ask us to change it.
- You have the right to ask us to cease processing your data or have it deleted, including the right to be forgotten.
- You may object to the way we use your information if you believe it is not in our best interests.
